WorkReceipt — Parts & Inventory

Know what's on the truck before you're standing in the driveway.

Running out of a part mid-job costs you a second trip. A live count that drops automatically when you bill a part prevents it.

What is a parts inventory system?

A parts inventory system for a service business is a running catalog of stocked parts and materials with live quantity counts, so a technician always knows what's on hand before heading to a job — and stock automatically decrements when a part is used and billed.

Sound familiar?

The problem with going without it

Spreadsheet counts drift from reality

A parts count that isn't updated at the moment of use is wrong by the second job, and nobody notices until they're out.

Running out mid-job means a second trip

Discovering you're out of a capacitor or a filter after you've already diagnosed the problem costs you a return visit and the customer's confidence.

No record of what a job actually used

Without linking parts to jobs, there's no way to see which parts move fastest, or which jobs are quietly eating margin on materials.

WorkReceipt fixes it

Here's how parts & inventory works

One catalog, live counts

Every part has a name, unit, price, and current stock level, visible right from the invoice picker so you never bill a part you don't have.

Stock drops automatically when you invoice

Add a part to an invoice and the catalog quantity decrements in the same action — no separate stock-adjustment step to forget.

Low-stock alerts before you're caught short

A push notification and a weekly digest flag anything below its threshold, so restocking happens on your schedule, not mid-job.

Questions

Parts & Inventory: frequently asked questions

How does stock get decremented?

When you add a part to an invoice and commit it, the catalog quantity drops automatically by the amount used — there's no separate step to manually adjust the count afterward.

Can my whole team see the catalog?

On Business workspaces, team members can browse the catalog to pick parts for a job. Pricing visibility for plain members can be limited server-side, so field techs see what's needed without seeing your cost.

How do low-stock alerts work?

Set a threshold per part. Crossing it triggers a push notification, and a weekly digest email bundles anything still low so a missed push isn't the only warning you get.

What plan includes Parts & Inventory?

It's included starting on the Solo plan at $29/month, alongside estimates and invoicing. It isn't available on the Free plan.
