Terms of Service

1. Acceptance of Terms

By accessing or using WorkReceipt ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use the Service. WorkReceipt is operated by its owner ("we," "us," or "our").

2. Description of Service

WorkReceipt is a software-as-a-service platform that allows service businesses to create, manage, and share proof-of-work reports using AI-generated summaries, photos, and notes. The Service also includes estimates and proposals, customer sign-off, automated follow-up communications, team workspaces, a customer report portal, and free public tools available without an account. The Service is provided on a subscription basis; certain features are available free of charge.

3. User Accounts and Authentication

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must provide accurate and complete information when creating an account. You may not use another person's account without permission.

You may sign in using your email and password or via a supported third-party provider (currently Google and Apple). By signing in through a third-party provider, you authorize WorkReceipt to receive your name and email address from that provider. You are responsible for maintaining the security of any connected third-party account.

4. Acceptable Use

You agree to use WorkReceipt only for lawful purposes. You may not:

  • Use the Service to create false, misleading, or fraudulent reports or estimates
  • Upload content that is illegal, defamatory, or infringes on third-party rights
  • Attempt to reverse engineer, hack, or disrupt the Service
  • Resell or sublicense access to the Service without written permission
  • Use the Service to store sensitive personal data beyond what is necessary for job reports
  • Abuse the free tools or customer portal to circumvent subscription limits
  • Send unsolicited commercial messages to customer contacts using the automated follow-up feature

5. AI-Generated Content

WorkReceipt uses artificial intelligence to generate report summaries, work-performed lists, estimates, share messages, and follow-up drafts based on information you provide. AI-generated content is provided as a starting point only. You are solely responsible for reviewing, editing, and verifying all AI-generated content before sharing it with customers. We make no warranties regarding the accuracy, completeness, or fitness of AI-generated content for any particular purpose.

The free public demo tool at workreceipt.app also uses AI to generate sample reports without requiring an account. Use of the demo is rate-limited and subject to these Terms.

6. Photos, File Uploads, and Location Data

You may upload job photos and receipt images to WorkReceipt. By uploading photos, you represent that you have the right to share them and that they do not violate any applicable law or third-party rights.

To reduce storage usage and improve load times for your customers, WorkReceipt automatically processes uploaded photos before storing them, including removing embedded metadata (such as camera information and any GPS location tag) and re-encoding the image. Original files are not retained after processing.

Uploaded photos are stored in Supabase cloud storage. Customer-facing report pages serve photos via public URLs. You are responsible for ensuring that photos you upload do not contain sensitive personal information beyond what is appropriate for a job report.

GPS check-in (Solo and up). On Solo-tier plans and above, you or a team member may optionally capture a GPS-verified location stamp for a job by tapping to record your device's location. This only happens when affirmatively triggered for that specific job — WorkReceipt does not track location in the background or outside of that single action, and your device's own location-permission prompt governs whether it's allowed at all. GPS check-in data is supporting evidence of an on-site visit — it reflects device location accuracy at a point in time and is not a guarantee of job completion, work quality, or the identity of who was present. The approximate street address shown alongside the coordinates is generated by a third-party mapping service and may occasionally be imprecise or unavailable. Exact coordinates are never included in the customer-facing report link — only a general confirmation that a visit was verified on-site. If you use this feature in connection with employees or contractors, you — not WorkReceipt — are responsible for using it lawfully, including providing any notice or obtaining any consent required by applicable employee-monitoring, privacy, or labor laws in your jurisdiction. Consult your own legal counsel to determine what applies where you operate.

7. Customer-Facing Features

Shared reports. Each job generates a unique shareable link (workreceipt.app/r/…). Anyone with that link can view the report. You are responsible for deciding when and with whom to share report links.

Customer sign-off. Customers viewing a shared report may optionally submit their acceptance of the completed work. Acceptance is recorded with a timestamp and the customer's IP address. This sign-off is a convenience feature and is not a legally binding contract unless you establish that separately with your customer.

Customer question form. On Pro and Business plans, customers viewing a shared report may optionally submit additional details (such as mileage, serial numbers, or notes). Any information submitted by customers is stored on the associated job and is accessible to you. You are responsible for handling customer-submitted data in accordance with applicable privacy laws.

Estimates. Solo, Pro, and Business subscribers may create and share estimates with customers via a unique link (workreceipt.app/e/…). Customers may accept or decline an estimate through that link. Estimate acceptance is recorded with a timestamp; it is a convenience feature and does not constitute a legally binding contract unless you establish that separately.

Customer report portal. Customers who have received reports from a WorkReceipt business may view their report history at workreceipt.app/my-reports. Access is verified by a one-time passcode (OTP) sent to the customer's email address. The portal shows only reports associated with the customer's email across all businesses that have sent reports to that address. Customers may not view reports belonging to other email addresses.

Automated follow-up communications (Pro and Business). If you configure automated follow-up reminders, WorkReceipt will send emails to your customer contacts on your behalf using your business name. You are responsible for ensuring you have a legitimate business relationship with any customer contact to whom you send follow-up messages and for complying with applicable anti-spam and commercial email laws (including CAN-SPAM and CASL where applicable). You may disable automated follow-ups at any time from your job settings.

8. Team Workspaces (Business Plan)

Business plan subscribers may create a shared workspace and invite additional team members. The account owner is responsible for all activity performed by workspace members. Only the workspace owner may manage billing, invite or remove members, and adjust seats. Removing a member from a workspace revokes their access immediately; it does not entitle you to a credit for any unused portion of that seat's current billing cycle.

Workspace members access the same jobs, customers, and reports as the owner within that workspace. You are responsible for ensuring that team members use the Service in compliance with these Terms.

9. Free Public Tools

WorkReceipt provides a set of free tools at workreceipt.app/free-tools that are accessible without an account. These tools use AI to generate sample reports and other content for informational purposes. Use of the free tools is rate-limited (currently 5 uses per day per IP address) to prevent abuse. We reserve the right to change, restrict, or discontinue the free tools at any time without notice.

10. Push Notifications

WorkReceipt may offer browser push notifications for job updates and reminders. Push notification permission is entirely optional and can be revoked at any time through your browser settings. We will only send push notifications that are relevant to your account activity. We do not use push notifications for marketing or third-party advertising.

11. Support Chat

WorkReceipt includes an in-app support chat. Conversations are stored in our database and may be reviewed by WorkReceipt staff to resolve your issue and improve the Service. If a conversation is escalated to our support team, the transcript and any email address you provide will be shared internally. We do not share support conversations with third parties except as required by law.

12. Plans, Pricing, and Subscriptions

WorkReceipt offers four subscription tiers: Free, Solo ($29/mo), Pro ($59/mo), and Business ($99/mo base). Each paid tier includes a monthly report quota that resets on the 1st of each calendar month at 12:00 AM UTC; unused reports do not roll over. The Business plan includes 3 user seats; additional seats are billed at $25 per user per month. Branding rules vary by tier: Free and Solo include WorkReceipt branding on customer-facing reports; Pro adds your business logo as co-branding; Business is fully white-labeled with no WorkReceipt branding visible to your customers.

Report quota and deleted reports. Generating a report consumes one report credit for the current billing period. Soft-deleting a report does not refund that credit. This policy exists because report generation incurs real AI processing costs regardless of whether you later delete the job.

Paid plans are billed monthly via Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis until you cancel. All fees are non-refundable except as required by law. We reserve the right to change pricing with 30 days' notice; existing subscribers will be notified by email before any price change takes effect. You may cancel or downgrade your subscription at any time from Settings → Billing & Plan.

Plan upgrades, downgrades, and cancellations. When you upgrade your plan mid-cycle, you are charged a prorated amount for the upgraded tier for the remainder of the current billing period. When you downgrade or cancel, the change takes effect at the end of the current billing period and no refund is issued for unused time at the higher tier.

Per-seat billing on Business. When you add an extra seat mid-cycle, the seat fee covers the remainder of the current billing period. Seat fees are non-refundable. Removing a seat stops future charges at the next billing cycle but does not credit the current cycle.

Referral rewards ("Spread the Word"). You may share a personal referral link. A referral reward is earned only when the person you referred becomes a paying subscriber (their first paid month) — referring someone who never subscribes earns no reward. You must be on a paid plan to receive your reward. If you refer someone while you are on the Free plan, you do not receive free months for that referral at that time; your earned credit is held and automatically applied to your account once you upgrade to a paid plan. Referral rewards are worth two free months (account credit) per successful referral, have no cash value, are non-transferable, cannot be combined with other offers, and may be modified or discontinued at any time. We reserve the right to withhold or reverse rewards for referrals we determine to be self-referrals, fraudulent, or abusive.

13. Data and Privacy

We collect and process data as described in our Privacy Policy. You retain ownership of all content you upload to the Service, including job notes, photos, and customer information. By using the Service, you grant us a limited license to store, process, and display your content for the purpose of delivering the Service.

WorkReceipt stores customer email addresses that you provide when sending reports or estimates. These are used solely to deliver reports to your customers, power the customer portal, and (on Pro/Business) send automated follow-up emails on your behalf. We do not sell customer data to third parties or use it for independent marketing.

You are responsible for obtaining any necessary consent from your customers to collect and store their contact information in connection with your use of WorkReceipt.

14. Intellectual Property

The WorkReceipt platform, including its design, software, and branding, is owned by us and protected by copyright and intellectual property laws. You are granted a limited, non-exclusive, non-transferable license to use the Service for its intended purpose. You may not copy, modify, or distribute any part of the platform without our written consent.

15. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WORKRECEIPT AND ITS OWNER SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR BUSINESS, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE. OUR TOTAL LIABILITY TO YOU FOR ANY CLAIM SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.

16. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF VIRUSES OR OTHER HARMFUL COMPONENTS.

17. Termination

We reserve the right to suspend or terminate your account at any time for violations of these Terms or for any other reason at our discretion. Upon termination, your right to use the Service ceases immediately. Workspace members whose accounts are terminated lose access to the workspace immediately. You may request deletion of your account and associated data by contacting support@workreceipt.app or using the Delete Account option in Settings.

18. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes via email or a notice within the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

19. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Florida, United States, without regard to its conflict of law principles.

20. Call Desk (AI Phone Assistant)

Call Desk is an optional paid add-on that uses an automated AI voice assistant to answer inbound phone calls on your behalf, collect caller and job details, and create leads in your account. The assistant answers calls like a professional front desk. It does not proactively announce that it is automated, but if a caller asks whether they are speaking with a person or a machine, it discloses honestly that it is an automated assistant, and it does not impersonate you or any human. Depending on where you and your callers are located, you are responsible for any legal requirement to disclose the use of an automated or AI system, and you may configure the greeting and rules accordingly.

The assistant speaks and behaves according to the settings, greeting, business hours, services, voice, and rules you configure. It follows those instructions literally. You are solely responsible for the accuracy and completeness of the information you enter, and for any statements the assistant makes to callers based on that information. You should review your configuration before enabling live answering and keep it current.

Call Desk is billed separately from your WorkReceipt subscription. Each plan includes a monthly allotment of AI call minutes; any usage beyond that allotment is billed at the per-minute overage rate shown for your plan and automatically charged to your payment method on your next monthly invoice, and a dedicated phone number may carry an additional recurring charge. All Call Desk charges are non-refundable — this includes the plan subscription fee itself, minute usage, and number charges. You may cancel at any time from Billing; cancellation takes effect at the end of the current billing period and no refund is issued for unused time or unused minutes. Pricing may change with notice as described in these Terms.

If you enable call recording, calls handled by Call Desk may be recorded and stored to produce accurate notes and leads. Call recording and monitoring laws vary by jurisdiction and some require notifying or obtaining consent from all parties. When recording is enabled, the assistant reads a recording disclosure to callers; however, you are responsible for ensuring that your use of recording, disclosures, and consent complies with all applicable laws in the locations where you and your callers are located.

Call Desk is provided on a best-effort basis. The assistant will not guarantee pricing, availability, or arrival times, and may misunderstand callers, miss details, or fail to answer a call. We do not guarantee that every call will be answered, that captured information will be accurate or complete, or any particular business result, and we are not liable for missed calls, lost leads, or errors in captured information.
